Meet Your Workpay AI Assistant FAQs

You can ask questions about your pay and HR staff, in your own words, right inside Workpay. No forms, no waiting, just ask like you'd ask a coworker. Here are the questions people ask most.

Getting Started

1. What is the Workpay AI assistant?

The Workpay AI Assistant is a helper inside the Workpay platform that answers your payroll, payment, and HR questions in plain words. Instead of clicking through different screens, you can type your question and get an answer.

Answers may come as text, a table, a chart, or a downloadable file, like a payslip. It uses only your company’s information and shows only what you are allowed to see based on your Workpay permissions, so your info stays private.

2. Where do I find it, and when can I use it?

Look for the “Ask Workpay AI” button at the top of the page. Click it any time, and start typing like you would to an HR colleague. There is nothing to install. Everyone can ask about their own pay and leave. If you manage people (and have the Workpay permissions), you will also get answers about your team.

3. Do I need to type it a certain way? What languages work?

No special phrases needed. Just ask normally, like you are texting a coworker. You can type in whatever language feels natural, and it will answer back in that language. English, Swahili, and French all work well, and others too.

4. Can it do things for me, or just answer questions?

Right now, it only answers questions and helps you understand your info. It cannot change anything, submit anything, or run payroll for you. It can only answer questions and hand you a document, like a payslip, to download. So, feel free to ask anything without worrying it will accidentally do something wrong.

5. How does my company turn this on?

You do not have to do anything. Workpay sets it up for your company. If your company decides not to use it, they can ask the Workpay support team to switch it off. For questions about pricing or your plan, you should still go to your Workpay Account Manager, for now.

Your Data and Privacy

1. Can it accidentally show me another company’s data?

No. It only ever pulls from your own company’s records, and each company’s data is kept completely separate from all others. It cannot show you another company's info, even by accident.

2. Does it only show me what I’m allowed to see?

Yes. It follows the same permission rules you already have in Workpay. You will see your own pay and leave details, and your team's, if you are a manager; but nothing more.

3. Is my data used to train AI models?

No. Your company’s data is never used to train any AI. The assistant uses trusted AI providers under strict privacy agreements and shares only the minimum info needed to answer your question. Your permissions are the main safety net here. Your HR and payroll data stays yours. The assistant uses trusted AI providers, and personal or sensitive information is redacted where appropriate.

4. I manage a team. What can I see, and what’s off-limits?

You can see whatever your role in Workpay already allows; usually your team’s pay, leave, and profiles; but nothing outside your team or your company. If your role doesn't give you access to something, the assistant won't show it either.

For HR and Admin Users

1. Can I get payroll reports just by asking?

Yes! Just ask things like:

• “What’s the total payroll cost for July 2026?”

• “Show the payroll variance for July 2026”

• “Which employees had the biggest change in pay?”

You'll get a clear answer, often in a table or downloadable file. It only uses your real Workpay data, and if something is missing, it will tell you instead of guessing. No special format needed, just ask normally.

2. Can I look up employee info, leave, and advances?

Yes. Try things like “How many employees do we have?”, “List everyone in Sales,” or “Who’s on leave today?” You can also check leave balances and salary advances for your team. Answers can come as text, a table, or a chart, and it’s always limited to your own company’s data.

3. Does this replace my Workpay dashboard?

No, it works alongside it. It is a faster way to get answers and reports, but you will still use the regular Workpay dashboard to actually make changes, like updating records or running payroll.

For Employees

1. Can I check my payslip and pay?

Yes. Try asking “Show me my payslip for July 2026” or “What was my net pay last month?” You will get an answer, often with a table or a downloadable payslip. You can also check any loans, salary advances, or your EWA (early wage access) limit. It can explain your pay, but it cannot change anything or run payroll.

2. How do I check my leave balance?

Just ask “What’s my leave balance?” and you will get it right away. You can also ask “Show my leave applications” to see requests you have made, or “How do I apply for leave?” to get the steps. It can show and explain your leave, but you will still need to submit leave requests the normal way in Workpay.

3. Can I see other people’s information?

No. As an employee, you can only see your own info, not your coworkers'. It follows your Workpay permissions, so anything team-wide stays with HR and managers.

4. What else can I ask about my own info?

A lot! You can ask quick “what-if” questions like “What’s the take-home pay on a KES 150,000 gross salary in Kenya?” Ask it to “Show me my employee profile,” or even have it summarize a document like a contract or CV. Ask in English, Swahili, French, or another language — just type it naturally.

How Accurate Is It, and Who Do I Ask for Help?

1. Can I trust the answers?

The assistant pulls from your real, live Workpay data, and it is built to say “I don’t have that info” instead of guessing when something is missing. That said, it is still AI and can occasionally get things wrong, so for anything important, double-check against the original document, like your payslip or a payroll report.

2. What if an answer looks wrong?

Compare it to the real record (like your payslip or report). That’s always the final word. Try rephrasing your question or adding more detail, like the exact month or person you mean, and ask again. If numbers still seem off, don’t act on them. Check Workpay directly, or reach out to your HR team or Workpay support.

3. How do I give feedback?

Easiest way: thumbs up or thumbs down on any answer, and add a quick comment about what worked or didn’t. That feedback goes straight to the team and helps improve the assistant. For bigger issues, contact your usual Workpay support channel.

4. I’m an employee and need help it can’t give. Who do I ask?

The assistant can answer questions about your own pay, payslips, leave, and profile, and explain things like how to apply for leave. But it cannot change your records.

For updates or anything it cannot help with, kindly reach out to your HR team or Workpay support. And remember: it will never show you a coworker’s details. For that, ask HR directly.

5. I am an admin and need more support. Who do I contact?

For team-wide questions, the assistant can quickly pull reports, payslips, and people data (always within your permissions). If it cannot help, or you need help with setup or rollout, reach out through your usual Workpay support channel.
